The General Rental Terms and Conditions of Stichting Stadsschouwburg & PHIL Haarlem apply to your event. We are not responsible for the operation or handling of any equipment or other materials you bring with you. If applicable, we kindly ask to receive any video and/or audio media to be played at least 5 days prior to your event, so that we can test and prepare them on our laptops. Additionally, we recommend bringing your own tested digital files on the day of the event as a backup.
Please coordinate the delivery of your materials with us in advance, so we can inform the back entrance porter and send you the correct delivery details ahead of time. Materials may only be left on-site if this has been arranged with us prior to the event. Otherwise, all materials must be taken with you immediately after the event.
We have placed your date(s) on option for 14 calendar days and will convert this into a definitive reservation once the confirmation has been signed by both parties and the deposit invoice has been paid. You must inform us of the final number of guests no later than 30 calendar days prior to your event. Between 30 and 10 working days before the event, you may reduce this number by a maximum of 20%, and between 10 and 5 working days, by a further 10%. No changes can be made after that point.
For any changes in guest numbers within 10 days prior to your event, the availability of goods or services cannot be guaranteed, and additional costs may apply, if relevant. For our cancellation policy, please refer to Article 13 of our General Rental Terms and Conditions.
Once we have received the signed confirmation, we will send you a deposit invoice for 50% of the total costs as agreed in the confirmation. This deposit will be deducted from the final invoice, which will be issued approximately 5 working days after your event. All our invoices have a payment term of 14 days.
